The definition of the Work Week and how hours are allocated
Current Practice
Work week – Sunday 12:00 am through Saturday 11:59 pm
Hours allocated – hours for the shift allocated to scheduled in-punch day
Example: 7:00 pm – 7:00 am shift on Saturday ending on Sunday
7:00 pm – 7:00 am – apply to Saturday
New Practice
Work week – Sunday 12:00 am through Saturday 11:59 pm
Hours allocated – hours for the shift split at 12:00 am
Example: 7:00 pm – 7:00 am shift on Saturday ending on Sunday
7:00 pm – 11:59 pm – apply to Saturday
12:00 am – 7:00 am – apply to Sunday
With the implementation of the updated version of Kronos on December 25th, 2022, Camden Clark Medical Center employees will integrate with the WVU Medicine standard for the work week definition and how the hours worked during the work week are allocated across pay periods.
Effective December 25th, 2022, Camden Clark Medical Center employee’s hours will split at the midnight day divide and allocated to the day worked. For example, if an employee clocks in at 7:00 pm Saturday and clocks out at 7:00 am Sunday, the first 5 hours will reflect on the date of the in-punch (Saturday 7:00 pm -11:59 pm-minus a half hour meal deduction) and the remainder (12:00 am – 7:00 am Sunday) will reflect on the date of the out-punch.
IMPORTANT: The allocation of hours change only affects your timecard if you are working Saturday into Sunday. The change will not affect straight day shift scheduled hours, any weekend premium night shift scheduled hours or any Monday-Friday day or night scheduled hours.
The basis for the change is as follows:
- Standardization for hospitals within WVU Medicine.
- Compliance with Department of Labor on allocation of hours and computation of overtime; and
- Consistency for employees who work or transfer to another hospital in the health system.
FAQs
During the transition pay period, how will my hours be allocated? All shifts started after midnight Sunday December 11th and any shift worked on Saturday December 24th up thru 11:59pm will be counted in the pay period of December 11th-December 24th, pay date of December 30th. For the pay period of December 25th thru January 7th, 2023, all hours worked from Sunday December 25th at 12:00 am thru Saturday January 7th, 2023 at 11:59 pm will be included for the pay for January 13th, 2023.
When my hours from the Day Divide change are moved to the next work week, will I receive overtime pay? An employee will be paid for all hours worked greater than forty during a work week as required by law. A work week is defined as Sunday 12:00 am thru Saturday 11:59 pm.
How will I punch/clock for December 24th and December 25th as we transition from the “old” Kronos version to the “new” Kronos version? Employees who will be working a shift on Saturday, December 24th that will crossover to Sunday, December 25th should punch/clock in at their shift start time and punch out at the end of their shift on Sunday. As we crossover from December 24th to December 25th, the time clocks will be re-directed from the “old” version of Kronos to the “new” version. The employee’s manager will insert a punch on Saturday, December 24th at 11:59 pm ending the pay period on the “old” KRONOS version which will be used to calculate the December 30th pay and will also insert a punch at 12:00 am on the “new” version of Kronos which will count towards the hours for the pay period of December 25th, 2022 thru January 7th, 2023 for the pay date of January 13th, 2023. Going forward, the hours for the pay date of January 27th will include hours worked between Sunday Jan.8th 12:00 am thru Saturday Jan. 21st 11:59 pm.
