Bylaws

ARTICLE I- Name

The name of this organization shall be Chefs of Rosenbaum. Chefs of Rosenbaum is a student organization at West Virginia University.

Mission Statement: This organization seeks to provide a welcoming environment for patient families staying at the Rosenbaum House and facilitate interactions between students and patient families by preparing healthy meals for Rosenbaum House Guests.

ARTICLE II - Objectives

The objectives of the organization shall be:

  1. Prepare dinners for Rosenbaum House guests and provide recipes to interested guests
  2. Facilitate genuine interactions between guests and medical students

ARTICLE III - Membership

Members and officers must be enrolled students at West Virginia University. 

ARTICLE IV - Officers

Section I: Officer Responsibilities

  1. The officers of this organization include: president, vice president, secretary, treasurer, and senior advisor.
  2. The duties of the officers are as follows

The president shall:

  • Organize the dates of all meals with Rosenbaum House staff and attend all dinners when possible
  • Serve as the official representative of the organization
  • Communicate volunteer sign-ups with the membership
  • Appoint officers in the event of a vacancy
  • Train the vice president in coordinating meals with Rosenbaum House staff
  • Assume the office of senior advisor at the conclusion of the academic year

The vice president shall:

  • Assist the president with coordination of all meals and event planning
  • Maintain close communication with the treasurer regarding fund availability for meal planning
  • Assume the office of president at the conclusion of the academic year or in the event of a vacancy in the presidency

The secretary shall:

  • Keep written records of all meetings including attendance at dinners and donation records
  • Maintain an accurate list of organization membership
  • Work with other officers as needed

The treasurer shall:

  • Oversee all transactions, organize budgets, and serve as the financial liaison between the organization and WVU School of Medicine
  • Seek grant funding through student organizations or other means
  • Work with other officers as needed

The senior advisor shall:

  • Assist the president with communication with Rosenbaum House staff to ensure an orderly leadership transition
  • Serve as a resource and advisor for the president when questions arise

Section II: Selection of Officers

  1. The officers of this organization are president, vice president, secretary, and treasurer, and senior advisor. If needed, the secretary and treasurer position can be combined into a single role.
  2. Elections will take place at the conclusion of each academic year. The president shall inform the membership of elections and allow a minimum of one week for members to submit applications. The outgoing officers will meet and select a vice president, secretary, and treasurer for the new year.
  3. At the conclusion of the academic year, the outgoing vice president shall become president, and the outgoing president shall become senior advisor.
  4. Officers will assume office for a period of one year. 
  5. Officers must be in good academic and professional standing at the time of elections to be eligible.

ARTICLE V-Group Activities/Meetings

The group activities/meetings shall follow these guidelines:

  1. Throughout the semester, organized meetings will be held for student members which will involve preparing a healthy dinner for Rosenbaum House guests, talking with guests, packaging leftovers, and cleaning up.
  2. Due to Rosenbaum House policy, dinner preparations will be limited to 10 students per meeting, excluding any officers present. Sign-ups will be sent out to the entire membership and attendance granted on a first-come, first-served basis. Any enrolled student at West Virginia University is welcome to attend.
  3. Dinner meetings will ideally occur once per month but may occur less frequently in the event of inadequate funding.
  4. At the discretion of the officers, other meetings may be held throughout the year to discuss the administrative aspects of the organization or perform fundraising. Per School of Medicine policy, funding from student services may only be used for these administrative meetings on campus and will not be used for dinner preparations.

ARTICLE V- Voting

This constitution and by-laws may be amended by a 2/3-majority vote of those voting with at least 51% of the membership present.

ARTICLE VI - Not-for-profit Statement 

This is a not-for-profit organization.

ARTICLE VII - Statement of Non-discrimination

This organization shall not discriminate on the basis of sex, race, color, sexual orientation, gender identity and gender expression, religion, age, marital status, national origin, disability. or veteran status. This policy will include, but not limited to recruiting, membership, organization activities, or opportunities to hold office.

ARTICLE VIII - Financial Obligation

This organization will not require any dues/fees from members. Any and all funds acquired will be through donations/fundraising events. Funds shall be utilized at the discretion of the executive board and faculty advisors, provided that its utilization will fulfill the objectives of the organization.
